01Software for Local Moving Companies
A move has more details than most field service jobs: two addresses, a date that may not move, an inventory that grows as the customer remembers things, stairs and elevators at both ends, parking rules, and often more than one day of work. When those details are scattered across phone calls, texts, and a whiteboard, the crew shows up short a person or without the right truck.
Roll On Call is a field service CRM that helps small moving companies keep these details in one place. Staff create a customer record and service address, enter jobs with scope and notes, schedule and assign crews, and send each crew a text message with the details. After each day of work, staff mark the job complete and send the invoice. Every job stays on the customer's history.
This page covers how a local moving company can use that workflow, with examples from typical moves. It also suggests office practices, such as a booking checklist and a building notes list. Those practices are for your team to adopt; the software stores what your staff enter.
Texts to technicians and customers go out from your business number on Team and Pro, which include integrated phone and SMS with one included number. Solo does not include integrated phone or SMS, so a Solo owner works from the job record and calls or texts from their own phone.
02Taking a Moving Booking
The booking call decides how many movers to send, what size truck to use, and how long the job will take. A consistent checklist helps every staff member ask the same questions: move date and how flexible it is, origin and destination, home size, number of bedrooms, large items, fragile items, packing needs, and access at both ends.
Queen bed, king bed, sectional, dining set for 6, upright piano.
If the customer adds items later, staff update the job and, if needed, the crew size. The record keeps the most current version in one place.
03Stairs, Elevators, and Parking
Access is where moves lose time. A third-floor walk-up, a freight elevator that must be reserved, a long carry from the loading dock, or a street with no parking can add hours. These details need to be known for both addresses.
Many moving companies keep a running list of buildings they serve often, with dock hours and manager contacts. Staff can keep those details in the customer or job notes for each move to that building.
04Packing Days and Multi-Day Moves
Larger moves often take more than one day: a packing day before the move, a loading day, an unloading day, and sometimes a separate day to deliver items from storage. Each day may have a different crew.
All the jobs sit together on the customer's history, so anyone in the office can see where the move stands when the customer calls.
05Pianos, Safes, and Fragile Items
Some items need extra people, special equipment, or extra care: pianos, gun safes, pool tables, large mirrors, artwork, antiques, and aquariums. Customers sometimes forget to mention them until moving day.
Asking about these items on every booking call, and recording them clearly, prevents most surprises. If the company does not move certain items, record what the customer was told.
The crew decides how to handle each item safely on site. The notes make sure they arrive prepared.
06Scheduling Crews and Trucks
Moving schedules peak at the end and start of each month and in the summer. Weekends fill early. The office has to balance crew size, truck size, start times, and how long each job is likely to take.
In Roll On Call, staff place each job on the schedule and assign the crew. The dispatch view shows each day's jobs and assignments, so the person booking can see which crews are already committed. Because the scope is on each job, staff can tell which bookings are full-day moves and which are smaller.
When a move runs long, a customer changes the date, or a mover calls in sick, the dispatcher updates the affected jobs and assignments. The office then works from the new schedule when the next customer calls.
07Keeping Customers Informed
Moving is stressful for customers, and many call the office several times before the move: to add items, to change the start time, to ask about boxes, or just to confirm. Each of those calls is easier when the person answering can see the full job.
08Sending Crews Their Move Details
When a job is assigned, Roll On Call can send the crew a text with the customer's details, the service address, the job scope, and the notes staff select. For moves, that usually means both addresses, start time, crew size, large items, stairs and elevators, parking, and the customer's contact number.
Read the message before sending it. Leave out details the crew does not need, such as pricing discussions, and make sure the destination address and access notes are included.
09Closing Out Each Moving Day
After each day of work, an authorized staff member marks the job complete and sends the invoice. If the move ran longer than planned or items were added, update the notes so the record matches the work.
If you take a deposit when the move is booked, record it on the first job. The recorded statuses then show the office what has been settled and what is still owed. Payment is collected through your existing methods.
10When Customers Report Damage
Occasionally a customer calls after a move to report a scratch or a broken item. Handling these calls well depends on knowing what happened on the job.
Staff can add the customer's report to the job notes with the date and details, and the history shows which crew did the move and what was noted at the time. Your claims process and any valuation coverage stay with your existing policies and paperwork.
11In-Home and Video Estimates
For larger moves, many companies do an in-home or video walkthrough before giving a price. The estimator sees the furniture, the closets, the garage, and the access, and catches items the customer forgot.
Your pricing method stays your own. The record makes sure the information behind the price reaches the crew.
12Moves That Include Storage
Some moves have a gap between leaving the old home and moving into the new one. Items go into storage for days or months, and a second delivery job happens later.
Staff can record the storage location and the expected delivery date in the job notes, then create the delivery job when the customer confirms the date. Both jobs stay on the customer's history, so the office can see what went into storage and when it came out. Billing for storage itself is handled through your existing process.
13Senior and Downsizing Moves
Senior moves and downsizing projects often involve adult children, a smaller destination like an apartment or care community, and decisions about what goes, what is donated, and what stays with family.
14Small Office and Business Moves
Small business moves usually happen after hours or over a weekend so the business can open on Monday. They bring their own details: a building manager to coordinate with, a loading dock reservation, computers and files that need careful labeling, and a floor plan for where everything goes at the new space.
15Which Roll On Call Features Moving Companies Use
Moves involve two addresses, several days and a crew that changes size with the job. Roll On Call keeps the customer, both locations, the inventory notes and every move day on one record, so estimates, deposits and final invoices line up with the work that was scheduled.
- Estimates are on every plan and convert into jobs when the customer books. Packing days and moving days can be separate jobs on the same customer record.
- Invoices for deposits and balances are created from jobs and paid by card through Stripe, with status visible to the office.
- The Smart Website Widget captures move requests from your website, and the Free Starter Website gives you a hosted site with the widget preinstalled.
- Team and Pro add dispatch with live technician location, restricted technician accounts so each mover sees assigned jobs, and integrated phone and SMS with one included number.
- Pro adds an office manager seat, up to six dispatchers, unlimited Service Areas and advanced reports and permissions.
Solo suits an owner who estimates and moves with a small crew in one Service Area, but it does not include technician accounts or integrated phone and SMS. Most crews that send movers out without the owner move to Team.
16Checklist for Choosing a System
Roll On Call covers customer records, service addresses, jobs, scheduling, crew assignment, standard job details, and completion, invoices and payments. If your company also needs online quotes, room-by-room inventory tools, storage billing, signed bills of lading, card processing details, or vehicle telematics hardware beyond live technician location, list those needs and ask our team how they would fit before you switch.
For most local movers, the biggest gain is having both addresses, access details, and special items recorded once and shared with the crew who needs them.
